Three separate records meet at one shift: the driver’s authorisation, the vehicle’s documents and the dispatch affiliation. One does not replace the others.

Start with the kind of work you will actually do

A taxi, a transportation network company vehicle and an airport on-demand taxi are not interchangeable application categories. Write down the service you intend to provide, the vehicle you will use and the organisation dispatching the work. Use that description when you ask the licensing authority which route applies.

Seattle’s driver page and vehicle-owner page describe different operating responsibilities. The City and King County divide regulatory work between them. Do not assume that renewing a vehicle document also renews a driver licence, or that a company account is evidence that every permission is current.

Build a three-column document check

  1. Driver: record the type of licence or permit, issuing authority, expiry date and the current training or examination route. Keep personal licence numbers in your own records, not in a public message.
  2. Vehicle: identify the vehicle and medallion, insurance documentation, required equipment and the responsible owner. Match the paperwork to the vehicle you will operate.
  3. Dispatch: confirm the affiliated dispatch agency, access to its system and the person who handles an account or equipment problem.

For a renewal, add a fourth column: what has changed since the previous application? A different vehicle, changed driver status or updated training requirement can make an old checklist incomplete. Open the current County training page before booking a course.

Use a worked example

A fictional driver has a licence that expires next month and plans to use a different leased taxi. The driver should not tick “ready” because the old cab was previously approved. The new record must identify the replacement vehicle, its relevant documents, insurance position and dispatch affiliation. The driver separately checks the renewal steps and training requirements with the County.

RecordQuestionEvidence to keep
DriverWhich renewal route applies to me?Current authority instructions and completion records
VehicleDo these documents describe this taxi?Owner’s documents and insurance confirmation
DispatchWho confirms affiliation and system access?Agency confirmation and support route

Resolve a mismatch before the shift

Write one specific question for the responsible organisation. “My vehicle has changed; which records must be updated?” is more useful than sending a bundle of unrelated paperwork. Keep the date and source of the answer. If the answer is incomplete, leave the item unresolved rather than treating silence as approval.

This worksheet organises evidence. The authority decides applications and interprets requirements. Use the driver resource desk to reach the current official pages.
